CAS Shield - Agent Section

Overview

This update introduces an Agent Details workflow in the CAS process within Enroly’s CAS Shield platform.

It enables students, agents, and universities to view, verify, update, and resolve discrepancies in agent information to support UKVI compliance requirements.

The feature ensures:

  • Accurate and up-to-date agent records

  • Clear verification and approval workflow

  • Structured conflict detection and resolution


End-to-End Process Flow

  1. Student completes CAS checklist

  2. Student confirms or rejects agent information

  3. Agent reviews and completes or updates agent details

  4. University reviews, verifies, and resolves any conflicts

  5. Process is complete when agent data is confirmed across all parties


Student View

Experience
Student reaches the Agent Details step after completing the CAS checklist. By default, this feature is disabled for all clients and can be enabled upon request. When enabled, the student sees only the agency name.

Actions Available

  • Confirm → proceeds with CAS checklist completion

  • Reject → flags agent record for university review

Key Rules

  • Students cannot edit agent details

  • Students cannot add or change agents

  • Only confirmation or rejection is allowed

Outcome

  • Confirmation allows continuation of the application

  • Rejection triggers a university review process


Agent View

Step-by-Step Process

  1. Agent opens assigned student record

  2. Reviews pre-filled agent details or fills in details if not synced by the University (e.g. name, address, branch information)

  3. Takes one or more actions:

    • Confirm existing details

    • Edit or complete missing details

  4. Saves and submits updates

Outcome

  • Info Check may reach 100% completion if no issues exist

  • Any edits may generate a data conflict for university review


University View

Visibility

University users can view:

  • Student confirmation status whether to confirm or reject (If enabled)

  • Agent-submitted or synced details

  • Conflicts (if applicable)

Agent data is visible in:

  • CAS checklist (Agent Details section)

  • Info Check (expandable view)

  • View All Data section

Actions

If there are no conflicts, no action required.

If conflicts exist:

  • Review discrepancies between:

    • SMS/imported data

    • Agent updates

  • Choose one:

    • Keep imported (system) data

    • Keep agent-updated data


Conflict & Exception Scenarios

1. Agent Edits Information

  • Triggers a conflict flag

  • University should review and resolve

  • No student involvement required


2. Student Rejects Agent


Creates a review flag and a conflict. The University should contact the applicant to understand the reason for the rejection.


3. What happens when an agent is removed?


The current functionality has not changed. If an agent is manually removed or updated and removed in your student management system:

  • The agent section is removed from the student record

  • The agent loses access to the student

  • The University may assign a new agent

  • If an agent is mismapped, the agent will not have access and the agent details section will not be visible


5. Missing Agent Details

Agent information can be completed by:

  • Agent

  • University user

  • System import (via integration)


Data Sources & Integration

Agent details may be:

  • Synced from Student Management Systems (SMS)

  • Imported via API, SITS integration, CSV, or SFTP

  • Manually entered or updated in CAS Shield

⚠️ For CSV/SFTP integrations:

  • Once details are added to the current data/report, please confirm this with your CSM so the integration team can update your mappings.


Key Rules

Agent Assignment

  • Remains fully controlled by university systems

  • No change to assignment logic


Checklist Completion

  • The checklist will show 100% complete when the required details are populated/provided.

What This Means

  • Agent data can come from system imports or manual input

  • All agent information can be be verified and consistent


Common Questions

Does this change how agents are assigned?

No. Agent assignment remains managed by the university system.


What happens if a student rejects the agent?

A university review is triggered to decide whether to keep, remove, or replace the agent. This review is not visible to the agent.


Can agents edit their details?

Yes. Agents can confirm and update their information within their workflow.


Can students see full agent details?

No. Students only see the agency name.
