Auto Move Rules
Auto Move from Pre-Deposit to Post-Deposit
Offers are automatically moved from Pre-Deposit to Post-Deposit when:
-
an offer is re-imported/re-synced with a deposit paid value
-
a student self-declares a deposit payment for the offer in the Source of Funds and Calculator
-
a student self-declares that they:
-
have a full scholarship
-
are not required to pay a deposit
-
Exceptions: in the following scenario the student would remain in Pre-Deposit and wouldn't be automatically moved to Post-deposit:
-
The offer was previously in the Post-Deposit stage and was manually moved back to Pre-Deposit
-
Offer is reimported with the course fee paid to date value.
Auto Move from CAS Issued to Visa Issued
Offers are automatically moved from CAS Issued to Visa Issued when:
-
an offer’s visa status changes to Visa Received
Note:
-
This rule only applies to offers in CAS Issued tab
-
If the offer has been moved to Visa Issued by this auto move rule and its visa status changes, they will be auto moved back to CAS Issued
-
If the offer has been moved to Visa Issued by a staff member, they will remain in Visa Issued Stage regardless of any further Visa Status updates
Auto Move to Visa Refused
Offers are automatically moved from CAS Issued to Visa Refused when:
-
an offer’s visa status changes to Visa refusal
Note:
-
This rule only applies to offers in CAS Issued tab
-
If the offer has been moved to Visa Refused by this auto-move rule and its visa status changes, they will be auto-moved back to CAS Issued (or Visa Issued, when the visa status changes to Visa received)
-
If the offer has been moved to Visa Refusal by a staff member, they will remain in Visa Refusal Stage regardless of any further Visa Status updates
Auto Move to Closed Lost
Offers are automatically moved to Closed Lost when:
-
The auto-move to Closed Lost feature is switched on for the institution in Config (System Config > Offers tab)
-
an offer is imported with no active courses (all courses in the import are declined)
Note:
-
If the offer has been auto moved to Closed Lost and this offer becomes active again, the offer record automatically moves back to Pre or Post deposit stage (depending on their deposit status)
-
If the offer has been moved to Closed lost by a staff member, we do not automatically move the record back. The offer remains in the Closed Lost stage.
Auto Move to CAS Issued
Offers are automatically moved from CAS Issued stage when:
-
The auto-move to CAS Issued feature is switched on for the institution in Config (System Config > Offers tab)
-
The offer is re-imported with externalCasStatus of ASSIGNED or USED AND
-
The offer is currently in the Pre-deposit, Post-Deposit, Uni/Pathway Review, Ready for CAS OR any of the other Custom stages.
Exceptions:
If following an auto-move to CAS Issued, the offer is manually moved back to one of the previous stages, this offer will no longer be automatically moved to CAS Issued again, even if it meets the reimport criteria above.
Note:
This is a ‘one-way move’ an offer that has been auto-moved to CAS Issued is not moved back if the offer is later re-synced without a CAS status
