Multiple Programme Choices

This article explains how an applicant can apply to more than one programme in a single application, and how those choices appear and progress in the University View. Understanding this will help you assess and make decisions on each programme an applicant has applied to.

Apply supports up to six programme choices within a single application, across different courses, intakes and study levels without the applicant repeating shared information such as personal details, education history or identity documents. Each choice creates an independent programme record, so your team can assess and decide on each one individually.

How applicants add their choices

The Programme choices task sits within the Your Information section of the application. The applicant adds each choice using an Add choice button, which opens a short form with four fields, each filtered by the one before it:

  1. Intake, only intakes with at least one course available for the applicant's fee status are shown (Home / Overseas; "Not sure" is treated as Overseas). Closed intakes are hidden.
  2. Study level, filtered by the chosen intake. The order shown is Foundation → Undergraduate → Postgraduate → Research.
  3. Mode, filtered by study level.
  4. Course, filtered by mode.

Course titles include the entry year in brackets — e.g. BA Business Management (Year 1 entry) — to help applicants distinguish options across intakes.

How applicants manage their choices

Once added, each choice appears in a ranked list, where the applicant can:

  • Edit any choice
  • Delete a choice
  • Re-rank choices using the up/down arrows (1st choice, 2nd choice, and so on)
  • After the first choice, the button becomes Add another choice.
  • At six choices, the button is hidden and a message appears: "You have added the maximum number of choices."

Rules:

  • At least one programme choice is required to complete the task.
  • Duplicate combinations (the same intake, study level, mode and course) aren't allowed.
  • Closed intakes don't appear; neither applicants nor agents can apply to a closed intake.

One application, multiple programme records

  • The applicant submits one application covering all their choices.
  • On submission, a separate programme record is created for each choice, with the applicant's ranking (1st to 6th) stored against each.
  • Application-level tasks, identity, education history, English language, personal statement and so on are completed once and shared across all programmes.
  • The Your Information and Application sections lock after submission.

How the choices appear in the University View

Before submission

  • Each programme choice appears as a separate entry under the appropriate intake. Opening any one takes you to the applicant's summary page.

After submission

  • Each programme record appears as a separate entry under the correct intake, each starting with an Applied status. Opening one takes you to that programme's page in the Applicant File.

In the Applicant File

  • All applied programmes are listed in the right-hand sidebar, ordered by the applicant's submitted ranking (1st to 6th choice).
  • Each programme page behaves exactly as it does for a standard single-programme application.

Each programme progresses independently — Applied → Conditional → Unconditional, and so on. A decision made on one programme has no automatic effect on the others.

Agent-led applications

Agents create applicants via the Create applicant drawer, which supports a single programme selection to get the application started quickly, using the same cascading filters as the applicant view (fee status → intake → study level → mode → course).

After creating the applicant:

  • The Programme choices task is automatically completed and pre-populated with the selected programme.
  • The agent begins at the Your highest education task.
  • The agent can return to the Programme choices task at any time to add, edit or delete choices — up to six — using the same logic as the applicant view.

On submission, programme records are created from the final state of the Programme choices task, whether the application was started by an agent or the applicant.

Reminder emails

All application reminder emails support multiple programme choices. Each reminder sends one email per applicant, listing all the relevant programmes, and uses the earliest course start date across their choices to determine timing.

Each reminder lists the relevant programmes as a bulleted list showing course name, study mode, intake and entry year. The sending frequency (2 days, 7 days, 14 days, then monthly) is unchanged.
