User Roles and Office Permissions

This article explains how user access is controlled in Enroly, through a combination of roles and office assignments. Understanding these will help you manage what your team members can see and do.

Access settings apply consistently across both the Admissions process (Apply) and the CAS process (CAS Shield), so a user's role and office restrictions follow them wherever they work in the platform.

User roles

A user's role defines what they can and cannot do. There are four roles:

  1. Administrator full access, including the configuration section.
  2. CAS Team full day-to-day admissions access, without configuration.
  3. Visa Advice the same day-to-day admissions access as the CAS Team role.
  4. View Only read-only access to view applicants, requirements, documents and tags, without the ability to take actions or make changes.

Only the Administrator role has access to the configuration section.

What each role can do

In short: Administrator, CAS Team and Visa Advice can all take the full range of admissions actions, with only Administrator additionally holding configuration access. View Only can see applicants, requirements, documents and tags, but cannot take actions or make changes.

Offices

In addition to roles, access can be restricted by office. Office restrictions apply equally across both Apply and CAS Shield.

For example, if a user is assigned to an office that only covers applicants domiciled in India, they'll see only those applicants in both Apply and CAS Shield.

This keeps visibility rules consistent across the platform, whichever workflow the user is in.
